Important about user groups
If you only have Security+ licenses on your account, you don't necessarily need to create a user group for offline users.
Single User Groups
If a single user requires non interrupted access to a licence, the Organisational Admin can simply reserve a licence for that user, rather than setting up a group with the correct licence entitlement and assigning the user to this group. User Groups are the cornerstone of licence management in OrgAdmin. A user group is a named collection of users who share the same entitlements, i.e. the same tier of Solibri access or the same level of Legacy Products (Solibri Office, Solibri Site and Solibri Anywhere etc.)
User Groups help the administrators to organize users within an organization into manageable segments. The administrators can then easily assign entitlements to users
Key characteristics:

Entitlements are always assigned at the group level — not the individual user level.

A user can belong to multiple groups if they need access to multiple entitlements.

If the user belongs to multiple groups they will get the highest available entitlement into use when starting Solibri

When a user is added to a group, they immediately receive the group's entitlements.

When a user is removed from a group, they immediately lose those entitlements.

Groups can be named by role, department, project, or any logical unit that suits your organisation.
To add a user group:
To add users to an existing group:

In OrgAdmin, go to Users

In Users, click the three dots at the end of the line of the username and select Groups

Select the correct groups(s) from the left column to add the group membership for the user

Click apply to save changes
To edit a user group:

In OrgAdmin, go to User Groups

In User Groups, click the three dots at the end of the line of the group name and select View details

Click Edit. You can modify the group name or its entitlements.

Click Save to apply changes.
To delete a user group:

In OrgAdmin, go to User Groups

In User Groups, click the three dots at the end of the line of the group name and select Delete

Confirm the action. All members will immediately loose the associated entitlement.
Important
Before Deleting a Group
Verify that all members have an alternative entitlement or group membership, or that their access removal is intentional. Users without any group entitlement will be unable to sign in to Solibri products.
General Best Practice Summary

Always maintain at least 2 admin accounts in OrgAdmin.

Name groups clearly — include role, department, or project and tier in the name.

Assign the lowest tier that meets the user's actual needs.

Review group memberships quarterly to remove inactive users and reclaim unused entitlements.

Use project groups as temporary supplements, not permanent replacements.

Keep offline users in a dedicated group to track token allocations.

Do not delete groups with active members — reassign users first.

Document your group structure in a shared spreadsheet or wiki for team transparency.
